Please note: All speakers are responsible for organizing their own transportation, including flights, taxis, and transfers between the airport, hotel, and conference venue etc. Each invited speaker has received a message outlining the maximum reimbursable travel expenses.

Instructions for Speakers

If there are any changes, this page will be updated, so we kindly encourage you to check it on a regular basis.

All speakers are kindly requested to bring their presentation slides (in .pptx format 16:9 on USB-stick on-site as back up. The presentations must be sent in advance before November 13th to registrations@congresscare.com
Please make sure to do this at least 2 hours before your session begins if the above deadline is not in line with your timing.

Speaker guidelines and requirements

  • All presentation speakers can sent their slides to registrations@congresscare.com in advance
  • We ask all speakers to upload/check their final slides at least 120 minutes before their lecture. Technical staff will be available on-site to help if needed.
  • Pesentations should be formatted in a 16:9 aspect ratio.
  • You may embed localized video files in your presentations. However, always bring a standalone copy of the video file on a USB stick.
  • The technical staff will ensure that your presentation is loaded onto the laptop in the designated meeting room.
  • Please adhere to the allotted presentation time to keep the session on schedule.
  • Familiarize yourself with the audiovisual equipment and introduce yourself to the session chairs, who will explain how they plan to run the session.
  • In compliance with the EACCME (European accreditation) requirements all speakers are request to include a disclosure slide at the beginning of their presentation. In this slide you can mention whether or not you have potential conflict of interest to report and explain how it has been resolved. A conflict of interest is any situation in which a speaker or immediate family members have interests, and those may cause a conflict with the current presentation. Conflicts of interest do not preclude the delivery of the talk, but should be explicitly declared. These may include financial interests (eg. owning stocks of a related company, having received honoraria, consultancy fees), research interests (research support by grants or otherwise), organizational interests and gifts. If you have nothing to disclose, please state “I have no commercial disclosure” instead of the table.
  • Please make sure to leave some time at the end of your presentation for questions from the audience. Allocate approximately 5 minutes for this. The chair will moderate the Q&A. Microphones will be available in the room for audience questions.

Chair guidelines

Your contribution as moderator is important to ensure a smooth session with a lively discussion. Part of your task as moderator will be:

Introduction of the speakers

  • Coordinate the Q&A after each lecture. Note: hostess and microphone will be available on-site to receive incoming questions from the audience.
  • To ensure the session is on track and decrease the chance of overtime.
  • We kindly ask you to arrive at the assigned meeting room 15 minutes before the start of the session to meet your co-moderator and speakers. Speakers should take place in the front row seats to allow smooth transition from one talk to another.

Speakers have uploaded their presentations in advance . AV technicians will assist all sessions in the back of the meeting room or at the lectern.

Please read the steps below carefully.

Before the Session

  • Arrive on time: Please be in the room at least 10-15 minutes before the session begins
  • Meet the technicians: Technical assistance is available in all rooms. One technician will support the presentation setup, and another will manage audio.
  • Take a moment to introduce yourself.
  • Coordinate with speakers: Welcome the speakers and briefly review the schedule.
  • Time management: Remind speakers to reserve about 5 minutes at the end of their talk for audience questions.
